Who we are
FootyFix helps grassroots football coaches, clubs and parents or guardians in the UK organise friendly fixtures and team activity. We are the data controller for the information described below. Contact us at support@footy-fix.co.uk.
What we collect
- Account data: email address, coach name and optional mobile number.
- Club and team profiles: club and team name, age group, team type, league, division, playing level, home postcode and badge image.
- Child and guardian information: child name and date of birth, team membership, guardian access and availability responses.
- Fixtures and requests: dates, kick-off times, venues, postcodes, formats, notes and the status of match requests.
- Messages: the content of in-app messages between coaches.
- Approximate location: derived from the postcodes you enter, so we can show distances and nearby fixtures. We do not track device location in the background.
- Device push tokens: stored so we can deliver notifications you have asked for.
- Pitch referral events: when you tap through to a pitch provider’s official booking page we record the provider, venue, timestamp and an anonymous session identifier. Pitch-provider payments take place outside FootyFix.
- Gala payment records: registration amount, the £1.50 booking fee, organiser commission, payment status, Stripe references, refunds and disputes. Full card details are collected and processed by Stripe and are not stored by FootyFix.
Why we use it
To operate the service (matching teams, arranging fixtures, messaging), to send notifications you have enabled, to keep the platform safe (moderation and abuse reports), and to understand which pitch providers coaches find useful.
Sharing
Other coaches see your club/team profile, fixture details and the messages you send them. Contact details are only revealed once a fixture is agreed and remain hidden if either coach blocks the other. We use service providers for hosting, database, email delivery, push delivery and Stripe payment processing. Gala organisers receive the registration information needed to run their event. We never sell your data.
Pitch providers
Pitch availability shown in the Pitch Finder comes from providers’ own public feeds or listings. Booking and payment happen on the provider’s own website under their terms and privacy policy.
Gala payments
Paid Gala registrations are processed by Stripe for participation in real-world football events. The total shown at checkout includes the organiser’s entry price and FootyFix’s £1.50 non-refundable booking fee. FootyFix records the organiser commission, payment outcome and any refund or dispute so the registration and financial obligations can be administered.
Notifications
Push and email notifications are optional and can be turned off at any time in Settings.
Email updates from FootyFix
If you choose to receive them, we’ll occasionally send you marketing emails about new features and community news, including reminders to post a friendly if you haven’t used FootyFix for a while. These emails are sent only with your consent, which is off by default. We record when and where you gave or withdrew consent and the wording you agreed to. You can withdraw consent at any time in Settings or using the unsubscribe link in any email. These marketing emails are separate from fixture, request and message notifications.
Optional invitation measurement
Shared FootyFix links may include a random referral code identifying the sharing source, campaign and inviting coach, without exposing their account ID. We ask separately before recording a referral arrival or remembering it on your device. If you allow measurement, a random visit token is stored for up to 30 days to connect that visit to a new account and subsequent fixture activity. No IP address, device fingerprint or contact details are collected for this measurement. Saying no does not affect access to FootyFix or subscribe you to marketing. Administrators see counts by source and campaign, not a recipient contact list. The browser token is removed after account attribution or expiry; unclaimed visits are removed after 30 days when referral maintenance runs. Account attribution is kept while needed for reporting and removed when the account is deleted.
Retention and deletion
We keep your account data while your account is active. You can request deletion at any time from Settings → Delete my account or by emailing support@footy-fix.co.uk. We remove or anonymise account information that is no longer needed, but may retain limited payment, refund, dispute, fraud-prevention, accounting and moderation records where required by law or needed to establish, exercise or defend legal claims. Those retained records are access-restricted and kept only for the applicable retention period.
Your rights
Under UK GDPR you can request access, correction, deletion, restriction or portability of your data, and you can complain to the ICO.
Children
FootyFix accounts are for adults, including coaches, club officials and parents or guardians. We do not knowingly create accounts for under-18s. Child information is managed through an authorised adult’s account and is only shown where needed for team membership, events and availability.
Changes
We’ll update this page and change the date above when this policy changes.
